ProcessRoot AI

ProcessRoot AI

We install the operating layer: missed calls texted back, reminders sent, quotes followed up, paperwork filed, invoices reminded, and one page of numbers on Monday.

Services, not software. We put working parts into your business and stay to run them. For any business under $10 million in revenue, in any sector. We use AI hard, and we never sell it as the product.

How a client starts

Three steps, two of them with a person

Our phone line and inbox are being connected. This is the path a client takes the day they are.

  1. Text us.

Your text becomes a lead in our operating system the moment it arrives. Our Sales agent reads it and drafts a reply, and a person can stop that reply before it reaches you.
  2. A discovery call with one of our industry and AI experts.

A person runs the call. The system will not let software mark that step done. The call is where the scope and the number come from, and you accept the agreement online.
  3. Live against a target, results on your own portal.

Each install has a target of five to ten days. The system measures every one against it, from the day the agreement is countersigned. Your portal shows each workflow in plain words, its number beside where you started, and a monthly report.

The six installs

What we put in first

Each one is a workflow we have built and tested, and it measures itself as it runs. Each is described here in the words of its own manifest. The full description is on the Solutions page.

  • A call goes unanswered and the caller phones the next business on the list. Nobody sees the missed call for hours, and by then the job is gone.
  • Appointments are booked and then forgotten. Nobody is reminded, some of the day no-shows, and the people who did want to move the time had no easy way to say so.
  • Quotes go out and then nothing happens. Nobody follows up, the customer forgets, and the work goes to whoever called them back.
  • Paperwork arrives by email all day. Someone has to open each one, work out what it is, pull the numbers off it, and put it where it belongs. It gets done late, or twice, or not at all.
  • Invoices go past due and nobody chases them. The owner hates the conversation, the money sits out there for months, and the customers who would have paid on a nudge are the ones who never get one.
  • The owner has no weekly number. What is owed, what is booked and what changed live in three systems nobody opens on a Monday, so decisions get made on a feeling.

Why it is safe

A person has a window to stop what an agent sends

Our firm runs on agents: software that reads a lead, drafts a reply, prices an install, sends an agreement. Every action one of our agents takes that would reach the outside world, a text, an email, a charge, is held in a queue first. It waits thirty minutes by default. In that window a person at the firm can stop it.

The wait only goes away after an agent has done the same kind of action twenty times without anyone stopping it. One stop resets the count to zero. No setting can shorten the window to nothing.

Two steps are never software. The discovery call is run by a person. Only the owner, signed in, can countersign your agreement, and the database refuses a signature from an agent or a service. No agent can take a workflow live before you have said yes in writing. The one person who can override that gate is the owner, in writing, and the override is recorded in the audit trail where you can ask to see it.
